MWSU Clay Guild Constitution
We the students of the Missouri Western State University Student Association establish the MWSU Clay Guild for bringing the interests of the ceramics department to the forefront of our community, and for providing students with the knowledge to better themselves with the clay medium.
ARTICLE 1- Name and Purpose
Section 1. The name of this recognized student organization shall be the MWSU Clay Guild.
Section 2. The purpose of the MWSU Clay Guild is to expand students’ knowledge about clay and to promote community activity of the students involved in the MWSU Clay Guild.
ARTICLE 2 – Membership
Section 1. Joining the MWSU Clay Guild, to join the MWSU Clay Guild a student must be present at two consecutive meetings; at the second meeting attended the student may be applied to the official roster.
Section 2. Active Membership
Clause 1: Active students are those students that consistently show up for meetings and have paid their dues.
Clause 2: Active members have the right to vote in MWSU Clay Guild, they are also eligible for all activities and may serve as elected officers of the MWSU Clay Guild.
Clause 3: All active members will be considered in good standing.
Section 3. Inactive Membership
Clause 1: Inactive members are members that have not been to their first two consecutive meetings and those that have yet to pay dues.
Clause 2: Inactive members are unable to vote and are unable to become elected officials.
Section 4. Dues
Clause 1: Active members must pay their dues by the second meeting after they have become part of the MWSU Clay Guild roster.
Clause 2: Existing members must pay their dues in full within the first month of the semester. ( September in the Fall, February in the Spring)
Clause 3: Members who fail to pay their dues will be considered in bad standing, and will be given inactive status.
Clause 4: Dues will be assessed in the amount of ten dollars per semester by the Treasurer of the MWSU Clay Guild.
Section 5. Eligibility for Membership
Clause 1: Any student currently enrolled at Missouri Western State University is eligible for membership in the MWSU Clay Guild.
Clause 2: Membership may be extended to Faculty, Alumni, and Staff, but such members will be non-voting and non-dues paying.
Section 6. Membership Responsibilities
Clause 1: All active members will receive one vote for all business placed before them.
Clause 2: All members must regularly attend meetings of the MWSU Clay Guild, failure to attend 50% of all regularly scheduled meetings will result in the member being placed on inactive status. Failure to attend 30% of the regularly scheduled meetings will result in removal from the MWSU Clay Guild.
Section 7. Statement of Non-Discrimination
Clause 1: The MWSU Clay Guild will not discriminate against any student seeking membership in the organization on the basis of academic class, affiliation, age, creed, disability, gender, ideology, political beliefs, sexuality, social class, race, or for any reason not stated.
Clause 2: The MWSU Clay Guild views diversity as a source of strength and as a valuable resource, so people from all walks of life are encouraged to join.
ARTICLE 3 – Officers
Section 1: There will be four officers in the MWSU Clay Guild.
Section 2: The President
Clause 1: He or she will be responsible for setting the agenda for all meetings of the MWSU Clay Guild.
Clause2: He or she will determine, with the other officers, the number of meeting for the semester.
Clause 3: He or she will call all meetings to order and adjourn all meetings as necessary.
Clause 4: He or she will publish the agenda for all meetings one week in advance on the MWSU Clay Guild listserv.
Section 3. The Vice President
Clause 1: He or she will assume the office responsibilities of the president in the event that the president is absent for any reason.
Clause2: He or she will be responsible for attending all SGA meetings.
Clause 3: He or she will be responsible for assisting the president with parliamentary procedures.
Section 4. The Secretary
Clause 1: He or she will be responsible for recording minutes for all the meetings.
Clause 2: He or she will be responsible for keeping a roster of all members and for recording attendance at the meetings.
Clause 3: He or she will be responsible for approving all MWSU Clay Guild publications.
Clause 4: He or she will publish the minutes on the MWSU Clay Guild listserv, no more than five days after the meeting in which they were recorded.
Section 5. The Treasurer
Clause 1: He or she will be responsible for assessing all dues and keeping track of finances.
Clause 2: He or she will be responsible for planning the budget of the MWSU Clay Guild and for keeping track of all funds in the budget.
Clause 3: He or she will be responsible for the planning and coordination sales and fund raising events.
Clause 4: He or she will be responsible to work with the advisor to ensure that all funds are administered properly, and they will keep track of all receipts.
ARTICLE 4 – Elections and Voting
Section1. Elections will be held at the last meeting of the Spring Semester.
Section2. Officers will be elected to serve for the following academic year.
Section 3. Voting will take place on all business placed before the MWSU Clay Guild at each meeting.
Section 4. The candidates with the most votes will be selected as the winner of an election.
Section 5. Election will be by secret ballot. All other voting will be by a count of hand.
Section 6. Officer vacancies will be filled by a special election.
Section7. Quorum will consist of half of all members, and business may not take place without the presence of quorum.
ARTICLE 5 – Finances and Fundraising
Section 1. The budget will be approved at the beginning of each semester and will be made up of the funds raised through dues and fundraising events.
Section 2. All funds will be disbursed with the oversight of the advisor who will be responsible for administering the MWSU Clay Guild’s on campus account.
Section 3. The MWSU Clay Guild will use its funds to pay for its events.
ARTICLE 6 – The Advisor
Section 1. The MWSU Clay Guild will have one advisor from the MWSU faculty who must complete an Advisor Agreement with the Center for Student Engagement at the beginning of each year.
Section 2. The term of office for all advisors will be one year. Service will be renewed upon the completion of the Advisor Agreement.
Section 3. The advisor of the MWSU Clay Guild will be responsible for meeting all obligations stated in the Student Organization Handbook.
ARTICLE 7 – Affiliation
The MWSU Clay Guild will maintain a relationship with the Student Government Association, the governing body of all students, and student organization at Missouri Western State University. The MWSU Clay Guild will adhere to the regulations outlined in the SGA Constitution and By-Laws.
ARTICLE 8 – Impeachment and Removal of Officer
Section 1. Officers may be impeached for the failure to perform assigned duties.
Section 2. Officers are the only ones able to perform an impeachment with the agreement of the advisor; the vote must be three-fourths majority.
ARTICLE 9 – Regulations
The MWSU Clay Guild will adhere to all policies and procedures outlined in the MWSU Student Handbook and MWSU Student Organization Handbook. Furthermore, the MWSU Clay Guild will adhere to all federal, state, and local laws.
ARTICLE10 – Amendments
Amendments to this constitution may be proposed by any member of the MWSU Clay Guild, but may only be voted on at the last meeting of each month. A two-thirds majority vote of quorum is required in order to enact an amendment. All amendments must be approved by the Student Senate. Amendments will take effect immediately upon approval by the MWSU Clay Guild. If the SGA does not approve an amendment, that amendment will be retroactively revoked.
ARTICLE 11 – Dissolution
The MWSU Clay Guild will be dissolved if no member participates in the Annual Student Organization Orientation and Regulation Process facilitated by the Center for Student Engagement.
