CONSTITUTION of the MISSOURI WESTERN STATE UNIVERSITY COMPUTER SCIENCE, MATHEMATICS, AND PHYSICS CLUB


Article I. Name

The name of this organization shall be the Missouri Western Matrix.

Article II. Objectives

The objectives of Missouri Western Matrix are to promote interest in the career fields of computer science, mathematics, and physics to:
  1. Become better acquainted
  2. Associate with professionals in their discipline
  3. Acquire experience in preparing and presenting technical material
  4. Be proud of their chosen profession
  5. Become aware of the responsibilities and challenges of a career in their chosen profession
  6. Provide information to students

Article III. Membership

Voting membership is restricted to currently-enrolled students at Missouri Western State University who have fulfilled the due requirements. Other ad hoc members can be post-graduate and perspective majors who are not yet officially enrolled at MWSC.

Article IV. Officers

The officers of Missouri Western Matrix will be a president, vice president, secretary, treasurer, and webmaster. These officers constitute the executive committee. These officers will be elected at the last meeting of the spring semester from nominations from the floor. Each officer will take office immediately and will remain in office until his/her successor has been elected, not to exceed one year of service. The officers must be voting members of the club. Any officer can be impeached for just cause by a voting procedure as outlined in clauses one, two, and three of Article XI.

Article V. Officers' Duties

The officers will be familiar with the constitution and any other rules that affect the Missouri Western Matrix. Specific duties are:

President

  • Presides over meetings according to accepted parliamentary procedures
  • Calls special meetings
  • Appoints special committees
  • Represents the club at official functions
  • Coordinates all club activities, either personally or by appointment

Vice President

  • Helps the president with any duties as required
  • Provides general direction for committees
  • Presides over meetings when president is absent
  • Coordinates between the club and MWSU staff

Secretary

  • Records meeting minutes
  • Official correspondence
  • Count and record votes
  • Prepare club sports with the help of other officers
  • Keep permanent records for the club
  • Keep membership roll and list of "voting" members in cooperation with the treasurer
  • Provides the minutes of the last meeting, committee reports, list of committees and the agenda of the upcoming meeting to members and the departmental secretary via email

Treasurer

  • Oversee custody of club funds
  • Collects dues and assessments
  • With the help of the other officers, prepares an annual budget
  • Authorizes payments
  • With the secretary, keeps a membership roll and a list of "voting" members
  • Prepares financial reports

Webmaster

  • Creates and/or maintains the club website

Article VI. Faculty Advisors

At the annual election, Missouri Western Matrix will elect at least two faculty advisors. These advisors will be informed of all club activities and will help the club with policy matters.

Article VII. Professional Advisors

At the annual election, the club may select a nonfaculty member as its professional advisor. This person will help the club with its relations with the local community and business.

Article VIII. Meetings

Regular meetings will be held each month. Special activities must be arranged through the executive committee. There will be at least two activities per year.

Article IX. Dues

The amount of the dues will be decided at the first meeting in the fall semester. Dues will be collected at the second meeting of each semester.

Article X. Reports

A report will be sent to the Dean of Students' office each fall and spring. These reports will be prepared by the executive committee in accordance with instructions from the Dean of Students.

Article XI. Amendments

This constitution may be amended by vote of the members present at a meeting provided that:

  • The amendment was presented at least one meeting prior to voting
  • There are more than 2/3 of the voting membership present
  • The amendment passes by a simple majority (2/3)
  • The amendment is approved by the Student Government Association
